Privacy statement

Who is writing this
This statement comes from Affinity Search Partners, a recruiting firm that places information technology and information systems professionals with employers, on a contract, contract-to-hire or permanent basis. Our mailing address, for anything in this statement, is 5123 Virginia Way, Suite A23, Brentwood, TN 37027.
It explains what personal information we handle, why, and what choices you have. It covers this website together with the emails and other business contact we make in the course of our recruiting work. If you and we have signed a separate agreement that says something different about information, that agreement governs the engagement it covers.
Why you may hear from us
Our work depends on reaching people whose job connects to hiring or to technology. We write to hiring managers, technology leaders, human resources and talent staff, and technical professionals, at the email address they use for work. Now and then we may also call a business number or send a letter to a company's business address.
We only do this where we have a reason to think our services could be relevant to the person's role. We do not send to personal addresses on purpose, and we do not keep writing to someone who has asked us not to. Section F explains how to make that request.
The information we handle
The information is almost entirely about people in their working capacity. It includes business contact details such as a name, a job title, an employer, a work email address, an office phone number and, where one exists, a professional profile link. It includes facts about the employer itself, such as its industry, size, location and the technology it uses.
We also note public business activity that helps us judge whether a conversation would be useful, such as roles a company is advertising, news about it, and public professional posts. Before we send an email we may run the address through a deliverability check to see whether it is likely to accept mail. Once a conversation begins, we keep the correspondence and our own notes about it.
Visiting this site adds very little. We set no cookies and run no analytics. Our hosting provider keeps ordinary technical logs, and because the site's Raleway font is fetched from Google's font service, that provider sees the IP address of the device requesting it. Sensitive categories of information, such as health, religion, political views or government identifiers, are of no use to us, and we do not knowingly hold any.
Where the information comes from
Most of it comes from public places: employer websites, boards where jobs are advertised, news coverage and professional networking profiles. Some comes from commercial business-data providers that compile and license professional contact information. The rest you give us yourself, by replying to a message, filling in the form on our main website, or speaking with us by phone or in person.
What we use it for
We use the information to decide whether our services are likely to be relevant to you and your organisation, and if so to contact you at work about them. We use deliverability checks to avoid sending mail to addresses that will bounce. When you reply, we use your details to answer you and, if you ask, to discuss and provide recruiting services.
We maintain a stop list so that a request to be left alone is honoured across everything we do. We also use information where the security of our systems demands it and where the law requires it. We never use tracking pixels or similar techniques to learn whether an email has been opened.
Asking us to stop
You do not need a special form or a particular phrase. Answer any message we have sent, in whatever words you like, or tell whoever calls you. We will stop promptly, and in every case within ten business days of receiving the request.
To make the request stick, your name and email address stay on our stop list. That list is checked before any outreach, including outreach built from a new data source, so a request made once should not need repeating.
Who we share it with
Personal information is not for sale here, and we do not rent it out either. Nor do we pass it to other businesses for their own marketing, and we never make it available for targeted advertising.
We do rely on service providers that act on our behalf. They include the companies that run our email and mailboxes, the services that verify addresses, the business-data providers we source from, and the providers whose servers hold our systems and files. Each is allowed to use the information solely for performing that service for us. Beyond that, we may disclose information to public authorities where a legal obligation compels it, or where disclosure is needed to protect someone's rights, property or safety. If the business is sold or merged, the information may pass to the buyer or successor, who would be bound by this statement.
Keeping and discarding records
We hold business contact information while it remains useful for our recruiting work and discard records once they are stale. Where we have worked with a client, the records of that engagement are kept for the duration of the work and for whatever further period our accounting and legal obligations demand. Stop-list entries stay for as long as we contact businesses in any form, because deleting them would defeat the purpose.
How we protect it
Only those whose work requires it can access the information, and we apply reasonable administrative and technical safeguards suited to the kind of information involved. No storage or transmission method is fully secure, so we cannot assure you that unauthorised access will never happen.
Your choices and rights
You may ask which information about you we hold and from where we obtained it. You may have it corrected. You may have it deleted, and we will comply, except for the stop-list entry that ensures we leave you alone. Depending on where you live, state law may give you additional rights: knowing what is held, correcting it, deleting it, and opting out of sales or sharing. Since we neither sell nor share personal information in that sense, an opt-out has nothing to act on, yet we will record and honour the request anyway. Exercising a right will never lead to different treatment from us.
To make a request, send a reply to any message of ours, use the web form at affinitysearchpartners.com/contact, or post a letter to the address in section A. So that we act on the right record, we may confirm the request through the email address we originally contacted. Our reply comes within the time allowed by whichever law applies. An agent authorised to act for you may make the request on your behalf, and we may ask for evidence of that authority.
Children
This site and our services are for businesses and working professionals. Nothing is knowingly collected about anyone younger than eighteen. If you believe we hold such information, tell us and we will remove it.
Where we operate
Our business runs from Tennessee, inside the United States. The service providers described in section G handle information in whichever locations they run their operations, and dealing with us means accepting that.
When this statement changes
We revise this statement from time to time. When we do, we change the date that heads this page, and the revised version applies from that date. Please check back if the date matters to you.
